Main purpose / objective of the position: To receive and handle walk-in clients and visitors and to answer switchboard in such a way that it projects a professional image of the office. General administrative tasks will also form part of this position as part of support to the entire team.
Decision making authority: Per approval framework. Training would be required to take decisions of a general nature from which specific judgment can be made to meet a new situation not yet encountered.
Experience / Education: GR12 or equivalent and at least 2 years relevant experience.
Skills required: Telephone skills; General Administrative skills; computer literacy (MS Office, particularly Outlook and Word); Ability to Multi-task; Interpersonal skills.
Knowledge required: Switchboard, Policies & Procedures
Competencies required: Communication, Customer & Quality Focus, Methodical, Teamwork & co-operation, Self Confidence; Tolerance for Routine.
Major drivers of work volume: Sophistication of switchboard equipment; number and complexity of incoming calls.
Interface / relationships with: Internal: Office Staff / External: Tenants, Landlord, Contractors, Suppliers
Key responsibilities:
Customer Care: Deal with enquiries and direct to the appropriate individuals or department as per the company’s protocols.
Manage services and contractors: Manage/coordinating service contractors on site, for example cleaning, security, air conditioning and general facilities etc.
General reception tasks: Receive visitors and ensure hosts are contacted to collect visitors from reception / Operation of Switchboard / Manage all incoming calls and respond in a professional manner / Ensure that the reception area is neat and tidy and reception desk is free on clutter.
General administrative duties: General typing for departments / Send, sort and distribute post and faxes / Provide basic admin support when required / Ordering consumables, stationery etc.. / Manage the booking of the conference/board rooms / Manage parking/issue parking vouchers / Update emergency contact numbers / Take and relay messages for office staff / Make appointments / Organizing catering for meetings / Raise purchase order through Oracle / Raise contract requests through Ariba.
Help desk call log: Log all repairs, maintenance and requests onto the Big help desk.
