Specific Key Tasks –COSTING ROLE /Supervisor
Responsibilities:
1. Overall Supervise the team (C.Clearane /ledger ) in their day to dayactivities and for overall performance in their task achievements:-
2. Giving staffs necessary support to grow and develop in their role
3. Accomplishes staff job results by coaching, counseling, disciplining the employees, planning, monitoring
4. Ensure the process flow of both clearance and Ledger and facilitate equally distribute the work load between team members
5. Give consultation to the staff whenever any misconduct and misbehavior noticed from them. Such incident immediately to notify the management "
6. An escalation point for all the issue shipments & proper escalation to Customs broker until it getting clear
7. Focusing on issue shipments such as LAB issue, Non Complaints to coordinate with the brokers and focus follow until it get solve & report it to the management
8. Support the brands and suppliers regarding the compliance regulations in the kingdom, accordingly for them to comply with market requirements when they ship the goods
9. Monitor customs brokers overall performance:-
10. Make sure to raise necessary claim with for D&D to the service provider /Brands team for their failure
11. Monitor the performance and necessary KPI of Transporters& Customs broker
12. Make sure with complying with AL Shaya agreed lead time
13. Make sure of well utilization of Al Shaya System
14. Managing Brand export requirements - (ICT Export)


General Responsibility as a Shipping Supervisor

1- Record, consolidate and reconcile Import / Export information supplied by Freight Forwarders, Suppliers and Brand Teams into Shipping register and System.
2- Ensure shipment documents received in time. Shipment PO created in timely manner and notified to the concerned teams.
3- Compliance check on shipping commercial documents for accuracy and completeness.
4- Liaises closely with Freight Forwarders and vendors directly to ensure any problems & discrepancies are corrected updating accounting records as appropriate.
5- Prepare and provide Export shipment documents to forwarders and consignee in accordance with the terms of shipment standard operating procedures of respective markets.
6- Continuously track shipments progress and communicate delays or concerns to the affected parties.
7- Checks & validates all Freight Forward service charges invoices receive against approved rates and process information onto PO AIMs.
8- Has a knowledge of Freight Forwarders limitations of liability as governed by respective international conventions for Marine & Airfreight
9- Can liaise with local Customs Clearance Brokers & Municipalities to facilitate shipment clearance.
10- Coordinate with the 3PL & internal customers order to attain timely delivery, cost and quality of service.
11- Adhere to budget requirements and work toward meeting objectives and division goals.
12- Documents & supervises all shipping processes - regulatory & legal.
13- Consolidates all monthly, quarterly & yearly shipping reports ensuring data accuracy.
14- Takes responsibility for compiling Freight Forwarder Shipping Manuals and updates required.
15- Manages all shipment queries in relation to Customs compliance liaising with Clearance Team.
16- Consolidates all monthly, quarterly & yearly shipping reports ensuring data accuracy.
17- Organizes team workloads, training and undertake performance appraisals when required.
18- Manage Freight Forwarders continuously communicate relevant information on shipments.
19- Contract manage local clearing agents & freight forwarders.
20- Ensure all affected parties are fully informed on shipment details.


Knowledge Required
• Has working knowledge of different types of shipping import/export documents produced by vendors & Freight Forwarders for shipment processing & purpose.
• Has advanced knowledge of Repository Surcharges which are applied by Freight Forwarders for all origin & destination activities.
• Has advanced knowledge of root causes which cause Freight Forwarder Detention & Demurrage charges.
• Has advanced knowledge of Shipping Manuals which governs how shipments are processed within each market.
• Has advanced knowledge of Customs process & procedures applied by relevant market.
• Has advanced knowledge of HS Code applied by Brands - purpose & relevance?
• Has advanced knowledge of Supplier Managed Relationship concepts.
• Has a working knowledge of Freight Contracts including Freight Forwarder obligations
• Has advanced knowledge Freight Forwarder SOPs including processes & procedures applied
• Has advanced knowledge of KPIs & Performance metrics applied by Group Freight to control and manage Freight Forwarders.
• Has advanced knowledge of Customs process & procedures applied by relevant market.
• Has advanced knowledge of HS Code applied by Brands - purpose & relevance?
