Outline of Role & Responsibilities
In House Group Bookings and Events
• Manage all booking enquires for all PDR’s and bookings over 12 people and more.
• Respond to all inquiries promptly and in a professional manner
• Make arrangements for menus, seating, return time, special requests, etc and create the function sheets for the special events and group bookings.
• Work together with the kitchen, front of house and bar team to evaluate the needs of the guests and maximize efficiency for every department
• Calculate any relevant costs: such as food cost, beverage, room hire, cake charge, flowers, transport and so on
• Prepare all hire out contracts to guests and seek their approval
• Prepare all hire out contracts and charge the necessary deposits
• Liaise with all departments in the organizing the event
• Brief door and floor staff in advance of any events
Outside Catering Organizations
• Respond to all inquiries promptly and in a professional manner
• Organize a site visit together with FOH & BOH
• Evaluate the conditions of the site together with all departments
• Do the costing and help the departments, food, beverage, labour, transport, etc.
• Prepare all hire out contracts and to charge the necessary deposits
• Liaise with all departments in organising the outside catering events
Events Around Us and Evaluations
• Remain up to date with the events and all media awareness in all the Riyadh events
• Evaluate all Rriyadh events together with the heads of departments and determine the possible impact on Restaurant.
• Devise ways to increase the value of these events to Restaurant.
• Prepare reports after Riyadh events in order to use in the future
• To prepare Riyadh events calendar
Information Gathering and Evaluations
• Implement, update and maintain a highly organized database of customers and contacts
• Evaluate the data and apply strategically to event plans and mail outs
• Determine the needs and preference of our guests and ensure that these are fulfilled
Social Media and Marketing
• Able to produce work using Adobe Photoshop, Illustrator and InDesign
• Utilise database management websites (Mailchimp, Constant Contact, etc.)
• Work closely with external partners on designing all marketing collateral (flyers, business cards, manuals, presentations, menus, brochures, invitations, etc.) for events business
• Designing e-newsletters and managing database of contacts to drive events business for venue
• Providing feedback to General Manager for all websites inclusions across the group to ensure that events business has profile
• Designing for and managing all social media platforms including Facebook, Twitter, TripAdvisor, Pinterest, Instagram, LinkedIn and keeping track of social media trends
• Liaising with printers and suppliers to ensure everything is cost effective, of a high standard and delivered on time

PR team for 360 degree campaigns
• Develop all relevant social media platforms for each venue

• Approve/Monitor management posts/reviews and replies

Other Duties
• Report for duty punctually wearing appropriate attire.
• Maintain a high standard of personal appearance and hygiene at all times, always remembering that you lead by example.
• Establish and maintain a good rapport and working relationship with all the staff in Restaurant and all other departments as well as suppliers.
• Provide a courteous, professional, attentive and efficient service at all times with all Restaurant departments and customers.
• Attend and contribute to all staff briefings and other related activities.
• Undertake any reasonable task and secondary duties as assigned by the General Manager.
• Respond to any changes in the restaurant function as dictated by the General Manager.
• Support new recruits through on the job training.
• Have a complete understanding of all the restaurants service functions and responsibilities
• Attend all management and organized meetings as requested by the General Manager.
• Be conversant with every aspect of the company’s Emergency, Health and safety and Fire procedures.
• Ensure you are aware of, and that you enforce all the company policies in the respects of human resources and staff welfare.
• Work in accordance with legislation relating to equality and opportunity in the workplace.
• Take responsibility for the security of the restaurant/bar premises and property at all times.
• Ensure that impeccable standards of cleanliness are maintained throughout the operations.
• Attend any training or re-training sessions as deemed necessary by the company including first aid training. Once qualified you will rota’d as a first aid trained member of staff whilst you are on duty.
• Be fully conversant with the geographical layout of the operation and to know the exact whereabouts of all equipment of an operations nature.

• Ensure that all potential and real hazards are reported immediately and rectified.
• Be fully conversant with all departments fire, emergency and Bomb procedures.
• Ensure that all required daily, weekly, monthly paperwork is completed, checked and filed in accordance with company policies.
• Ensure all team members are aware of and trained to comply with all legal policies, practices and procedures.
• Emergency procedures are rehearsed monthly and attendance records are kept; all emergency procedures need to be implemented and enforced to provide for security and safety of guest and employees
• All staff within the department must be trained in a manner, which is safe and unlikely to give risk of harm or injury to themselves or others
• Stimulate and encourage a general awareness of health and safety in relation to all tasks and activities undertaken in the department
• Be fully conversant with the Restaurant “Food and Hygiene Policy” and “Health and Safety Policy”
