Receptionist/Reservationist

Job Description

Position: Receptionist/Reservationist
Unit: RESTAURANTE Riyadh
Reports to: Reception/Reservations Supervisor
Liaises with: All Departments
Responsible for:
Department: Food and Beverage
Saudi Nationality

Outline of role & responsibilities

Pre Shift Duties

• Make sure all opening checklists are followed so all RESTAURANTE standards are met.
• Make sure restaurant is set based on the bookings received and based on the instructions given by the Reception Supervisor/Manager and Floor Management.
• To clean and tidy the reception area and entrance area
• To clean and tidy the entrance area leading to the lounge/ bar area, e.g. floor, candle holders, air purifiers, etc.
• To stock all the necessary stationary, e.g. pens, pencils, paper, table plans, stapler, etc.
• To stock up and prepare the other items to be used during shift, e.g. reading glasses, business cards, candle, rubbish bags, glass cleaner, etc.to update and keep all the necessary folders, e.g. concierge folder, door host folders
• To read the booking sheet information to get familiar with the names
• To focus on the names and bookings times, number of guests of large bookings and important bookings
• To memories different sections and table numbers
• To keep records of “lost and found’ items
• To deal with all kind of inquiries including telephone inquiries
o To listen and understand all the details of the inquiry
o To be aware of who is who
o To be aware of all the information related to RESTAURANTE, e.g. Head office, other related operations, their addresses, etc.
o To be aware of major events going on in the town
o Opening and closing times for all the units, as well as last order times

Holding Guests

• Always follow RESTAURANTE Sequence of Service (see RESTAURANTE SOS SOP’s).
• Tour the venue in intervals to identify any empty tables and update Reservations System and inform the Reception Manager.
• Take notes and recognize the guests quickly, e.g. the colour of shirt, jacket, t-shirt, shoes, etc.
• Answer calls promptly to use the potential empty seats.

Walk in Guests

• To greet them with the same enthusiasm as any other guests
• To take their names and basic details while their being held in the lounge/bar if no table available
• To try your best in order to accommodate them
• To inform the managers about the table transfers.

Seating

• To inform the guest that their tables is ready and invite them to the table
• To carry guests’ drinks to their seats/tables
• To pull out their chairs and tables to make it easier for the guest to sit down
• To offer the a la carte menu
• To give the waiter the guest slip with notes

Other Duties During Shift

• Try to accommodate regulars and concierge reservations requests
• Utilize all tables to achieve higher turnover
• Work closely with concierge and other agents to increase other events
• Ensure customers are informed regularly on their table status there is a delay
• Inform our guests about upcoming events at RESTAURANTE
• Complete all administrative duties.
• Update the VIP, regulars and concierge lists
• Update all operational cell numbers
• Complete daily log book and reports

Leaving Guests

• To make arrangements for valet tickets/ taxi whenever needed
• To respond to variety of inquiries
• To help them with the door if closed
• To bid a fond farewell.
End of Shift Duties

• Assist other team members for post shift duties.
• Make sure all closing checklists are followed, so all RESTAURANTE standards are met.

Other Duties

• Report for duty punctually wearing appropriate attire.
• Maintain a high standard of personal appearance and hygiene at all times, always remembering that you lead by example.
• Establish and maintain a good rapport and working relationship with all the staff in RESTAURANTE and all other departments as well as suppliers.
• Provide a courteous, professional, attentive and efficient service at all times with all RESTAURANTE departments and customers.
• Attend and contribute to all staff briefings and other related activities.
• Undertake any reasonable task and secondary duties as assigned by the General Manager.
• Respond to any changes in the restaurant function as dictated by the General Manager.
• Support new recruits through on the job training.
• Have a complete understanding of all the restaurants service functions and responsibilities
• Attend all management and organized meetings as requested by the General Manager.
• Be conversant with every aspect of the company’s Emergency, Health and safety and Fire procedures.
• Ensure you are aware of, and that you enforce all the company policies in the respects of human resources and staff welfare.
• Work in accordance with legislation relating to equality and opportunity in the workplace.
• Take responsibility for the security of the restaurant/bar premises and property at all times.
• Ensure that impeccable standards of cleanliness are maintained throughout the operations.
• Attend any training or re-training sessions as deemed necessary by the company including first aid training. Once qualified you will rota’d as a first aid trained member of staff whilst you are on duty.
• Be fully conversant with the geographical layout of the operation and to know the exact whereabouts of all equipment of an operations nature.
• Be aware of and ensure constant compliance with all necessary operational policies including:

• Health and Safety
• Food Safety & Hygiene
• Maintenance
• Emergency Procedures

Health and Safety and Welfare

• Ensure that all potential and real hazards are reported immediately and rectified.
• Be fully conversant with all departments fire, emergency and Bomb procedures.
• Be fully conversant with the RESTAURANTE “Food and Hygiene Policy” and “Health and Safety Policy”
