Receptionist and Administration Assistant
About the job
Main Responsibilities
Provide comprehensive administrative support to the our company HR & Administration Manager and other team members.
Support the General Manager in specific administration tasks and projects.
Be the first point of contact for all Arena enquiries and re-directing communication to the appropriate team member.
Welcome on-site guests and provide hospitality support, information, and introduction to team members as and when required.
Manage and coordinate all daily mail/deliveries/couriers’/phone calls.
Responsible for coordinating the booking of meetings (weekly, monthly and team meetings) and appointments through Venue Ops.
Manage bookings of the meeting room, and other ****** for regular meetings through Venue Ops.
Maintain security by following procedures and controlling access (monitor logbook, time & attendance logs etc.)
Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
Greet customers, clients and staff in a friendly, polite manner and ensuring that their needs are attended to promptly.
Input information to reports and research projects as instructed by the GM or department heads.
Be flexible with the work hours and be part of the team when required at evenings and weekends.
Contributes to team effort by accomplishing related results as needed.
Support team members in delivering Arena operations during live events.
Other responsibilities assigned as and when required.
Position Skills and Requirements
§ A passion for the events industry.
§ Proven working experience in similar roles.
§ Excellent interpersonal skills.
§ Should be reliable and well organized.
§ Proficient with Microsoft Office Suite and other social media formats.
§ Must maintain the professional appearance and should have a positive attitude towards working in a fast-paced events environment.
§ Comprehensive communication skills both written and verbal.
§ Ability to be resourceful and proactive in dealing with issues that may arise.
§ Ability to organize, multi-task, prioritize and work under pressure.
§ Must be fluent in Arabic and English (Reading, Writing and Speaking).
§ Very flexible approach to working in a dynamic environment and during events and activities within the Arena.
